The Smeal College of Business is seeking to fill the role of Administrative Support Coordinator 4/5 (Assistant to the Senior Director of Development and Alumni Relations). This position is part of the Development and Alumni Relations office reporting directly to the Senior Director of Development and Alumni Relations. The position is responsible for the management of a dynamic office environment to include policy and procedure interpretation, strategic planning and execution of the plan, management of a $500,000 budget, and working with a 25-person team. The successful candidate will oversee the administrative responsibilities including logistics and scheduling of meetings with high-level donors for the senior director and dean in domestic and international cities, scheduling internal and external meetings, managing calendars, oversite of support staff and management of one staff member, meeting minutes and communication with the team of priority topics on behalf of the senior director, and acting as the liaison for the Dean’s Office, college departments, and Central University Development. This position is essential to assist with preparing materials, presentations, and information for the senior director’s work with various boards and committees within the college including the Campaign Subcommittee of the Board of Visitors and departmental and center boards. Will represent the office as appropriate and will assist with determining staffing, equipment, and space needs for the unit. This position may support occasional weekend and evening events. This job will be filled as a level 4, or level 5, depending upon the successful candidate's competencies, education, and experience. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience for a level 4. Additional experience and/or education and competencies are required for higher level jobs. Fluency with Analytical Writing Assessment (AWA), IBIS, and Microsoft Office programs preferred. Demonstrated ability to coordinate relationships and projects spanning multiple offices, campuses, and departments is essential. The successful candidate must be reliable, resourceful, energetic, and a team player. Candidate must be highly organized, adhere to precise deadlines with attention to detail, and write and communicate effectively. Excellent computer skills are required. The position requires flexibility, tact, confidence, and strong instincts for protocol and etiquette. The successful candidate must possess exemplary interpersonal and customer service skills and demonstrate a genuine appreciation in working with diverse audiences. Outstanding organizational and communication skills, as well as the ability to work independently, is required. A willingness and ability to learn new computer software and applications is necessary. Must be able to handle confidential and sensitive information of individuals and donors with great care and discretion.
