The Division Office is seeking to fill a full-time standing Administrative Assistant position. Duties include, but are not limited to: provide administrative support and act as a proxy for two Division Heads and the other administrative staff. Schedule and coordinate all meetings, one-on-one appointments, and events on Division Heads' calendar. This position also acts as the timekeeper for biweekly wage payroll and processes part-time faculty reappointments and full-time overload pay multiple times each semester in Worklion; submit student hires as needed. Work with Shared Services to correct pay issues in a timely manner. Assist with division budget planning, and assign division expenses to the proper budget and cost centers. Approve forms in IBIS, proxy for Division Heads, and pull budget reports as needed for coordinators. Approve documents as necessary, make bank deposits (ROCRs), resolve cost centers via CRFN, populate and customize budget reports using ICAG/FIT. Act as backup to other administrative staff who oversee the faculty search process. Create and maintain faculty databases of those searches and track all division hires. Coordinate and attend division and/or committee meetings, take notes, and compose minutes. Oversee and coordinate the distribution of SRTEs. Collect (FAR) Faculty Activity Reports and prepare folders for annual reviews. Oversee and coordinate solicitation of student evaluations for Promotion and Tenure process. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. The use of Worklion, ERS, and IBIS/SIMBA is preferred. The successful candidate should be proficient in Access, Excel, and Word.
