Description

Provide administrative support to the Department of Pathology Chair, Administrative Support Coordinators, and Departmental faculty. This position will handle complex issues with departmental faculty and staff, assist with interviewing of faculty and staff, hiring, and orientation of support staff and provide training and assist with onboarding. Prepare the Department Faculty meeting monthly presentation. Coordinate and attend departmental meetings, prepare agendas, and compose and distribute minutes. This position will also require review of documents for grammar, spelling, punctuation, and basic formatting. Candidate must possess the ability to provide oversight of daily office activities, supervision of staff, and assist with Department Chair needs in absence of supervisor. This position will require use of BookIt, Workday, XM, ERS, and IBIS. This position will work with Global Health Scholars at UP to ensure compliance for all foreign hires. This position will be responsible for greeting customers/visitors, provide information and/or refer as appropriate. Direct, review, screen, and process telephone and mail communications. Act on routine requests and/or refer. Prepare and process faculty dossiers, compile data from various departments within the institution, schedule and maintain calendar of appointments, meetings and travel itineraries. Establish and maintain work unit files and databases; prepare documents, meeting materials, and correspondence, coordinate travel arrangements, to include reservations, and processing reimbursements. Maintain confidential and/or sensitive information and materials, update and make routine changes to web pages, maintain inventory and order/purchase office supplies; arrange for equipment maintenance; process work orders for facilities repairs/needs. Assist in coordination of departmental events. This position typically works under minimal supervision, while performing assignments. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. This position requires a well-organized person who is attentive to detail and has excellent written and oral communication skills. This person must have the ability to maintain effective relationships with peers, vendors, and others in a diverse environment; support team decisions and follow through with team responsibilities; interpret information, ideas and instructions and communicate clearly and accurately both verbally and in writing including materials intended for distribution.
