The Penn State Department of Electrical Engineering in the School of Electrical Engineering and Computer Science (EECS), College of Engineering, is seeking an energetic, motivated, and experienced Financial Staff Assistant (Center Staff). This position supports department faculty, staff, and students with processing financial transactions including payments, purchase orders, cost and labor transfers, reimbursements, and various financial reconciliations and also provides assistance with problem solving to ensure continuous flow of operations to support the unit and college’s mission of teaching, research, and service. Will compile and submit travel and event reimbursements and purchase orders; monitor budgets for availability of funds to support all expenditures and to assure compliance with University and external sponsor policies; obtain all necessary completed forms for purchases such as Cost Account Justification, Sole Source Justification, and tax exempt certification; provide financial and other reports as requested by faculty. Implementation of a new financial system, SIMBA, provides a unique opportunity to join the Electrical Engineering Financial Team as part of this transition. This position also provides support to faculty and their students by obtaining information for student support as Graduate Assistants, processing related appointments, and updating the department Graduate Database (Microsoft Access). Additional duties include preparing memos and spreadsheets, providing support for scheduling conference/seminar rooms and faculty schedules for committee meetings, and general office system support. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Preferred knowledge of the University’s financial and other related policies and procedures and systems such as IBIS, Concur (ERS), SAP S/4HANA, iTwo (Oracle BI), FIT, SIMS, eBuy, LionPATH, and Workday. Excellent computer skills, including MS Office 365 and Outlook, is desired. Successful candidates must be highly motivated and exhibit a high degree of professionalism and initiative. Excellent organizational, communication, and interpersonal skills are required. Attention to detail and good judgement are vital requirements, as well as the ability to work within a team environment, manage multiple priorities, and demonstrate a genuine appreciation in working with diverse audiences.
