The Electro-Optics Center (EOC), a Division of the Applied Research Laboratory at Penn State, located in Freeport, PA, is seeking an experienced Administrative Support Assistant. Responsibilities include: Coordinate front desk activities, such as answer phones, greet and assist visitors, customers, and others, and monitor cameras; book and reconcile travel for EOC staff; coordinate meetings, to include room set-up, visitor access, and catering; schedule and maintain calendar of appointments; assist with the development and/or documentation of administrative procedures; maintain confidential and/or sensitive information/materials; serve as a resource to others on a variety of topics including office equipment and information processing procedures; track and monitor budgets and assist in preparing reports as needed; assist with student-related functions; and assist all EOC staff with administrative duties, to include copying, printing, purchasing equipment and supplies, mailing, and other general office support. This job will be filled as a level 2 or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. An Associate’s degree in a related field is desired. Experience in the following is preferred: Travel coordination, Adobe form creation, and Microsoft Visio, Access, and/or Project; experience in the following: responding to moderately complex questions/issues concerning unit/University policies, process and procedures from internal and external contacts; assisting with budget preparation and projections; assisting in collecting and organizing materials for grant/proposal preparation; prior experience working in a Federal Contractor environment. Experience requirements include: Microsoft Office including Word, PowerPoint, and Excel; and prior coordination and scheduling of meetings is necessary. The successful candidate should be detail oriented and hold strong organizational skills, must be able to balance multiple priorities in a fast-paced environment, and possess strong oral and written communication and interpersonal skills. Candidate selected will be subject to a government security investigation. You must be a U.S. Citizen to apply. Employment with the Applied Research Laboratory will require successful completion of a pre-employment drug screen. This is a one-year, fixed-term renewable appointment.
