The Corporate Communications Office (CCom) of the Applied Research Laboratory (ARL) at Penn State looking for an Administrative Assistant to support the cutting edge research projects and enterprise operations offices for ARL. This position is responsible to provide administrative support of programs, meetings, and functions, to include: greet visitors, answer phones, provide information, direction, solve routine issues, and/or refer; assist in the preparation of documents, reports, and presentations, and proofread documents; receive, process, and ensure confidentiality of sensitive information and materials; schedule and maintain calendars of appointments, meetings, travel itineraries, and conference rooms; coordinate travel arrangements, make reservations, and process travel reimbursements; prepare agendas, order, coordinate group meals, and assist with special event setups/preparations; open, sort, and distribute mail, prepare shipping labels, and accept deliveries; maintain files, databases, and reports. For higher level, responsibilities will also include: Prepare, monitor, and maintain budgets, track expenditures, process budget revisions, and assist with budget preparation and projections; generate, prepare, and maintain financial reports and spreadsheets; and assist with planning and coordination of moderately complex projects. This job will be filled as a level 2 or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. A Bachelor's degree in a related field is desired. Experience in a government contracting or DoD environment is preferred. Prior experience in a communications or other professional environment is required. Proficiency with Microsoft Office (Word, Excel, and Outlook) is also required. You must possess the ability to exercise discretion and hold good interpersonal and customer service skills, including excellent oral and written communication skills. A demonstrated ability to multi-task in a fast-paced environment while maintaining attention to quality, detail, and accuracy is necessary to be successful in this position. Attendance at events may be necessary. Candidate selected will be subject to a government security investigation. You must be a U.S. citizen to apply.
