Penn State Extension in the College of Agricultural Sciences is seeking an Administrative Support Assistant. Responsibilities include: operational, administrative, and financial support for all programs out of the McKean County Office. The candidate will assist educators in arranging for facilities, materials prep, making contacts, program preparation/registration, follow-up communication, and reporting using proprietary software, Adobe Creative Suite, and Microsoft Office products; track and monitor budgets, gather information and process expenditures for payment, and prepare fiscal reports as needed using proprietary software (i.e. SAP Concur) and QuickBooks; may interact with vendors on quotes and invoicing; greet customers/visitors, provide information and/or refer to the appropriate individual, office, or organization; direct, review, screen and process telephone communications, email, and direct mail; act on routine requests and/or refer; schedule and maintain calendar of appointments, meetings, and travel itineraries; and schedule classrooms or conference rooms; establish and maintain work unit files and databases; perform data entry; gather, assemble and format data to create simple reports; prepare documents, meeting materials, and correspondence; coordinate travel arrangements, make reservations, and process staff/educator reimbursements; assist with program outreach through newsletters, press releases, routine updates to web pages, and other social media as determined; attend meetings; record, transcribe, and distribute meeting minutes; compose written communication and proofread documents for grammar, spelling, punctuation, and basic formatting; serve as a resource to others on a variety of subjects including customer requests, office equipment, software application usage, and information processing procedures; open, sort, and distribute mail as well as preparation of a variety of mailings; maintain inventory and order/purchase office supplies and field equipment; arrange for equipment maintenance; process work orders for facilities repairs/needs; may assist in arranging special events; assist with development, design, and production of publications; may assist with student-related functions; attend Penn State Extension professional development classes and optional classes as required or requested; willingness to travel to trainings and meetings as needed. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Excellent grammar and proofreading skills required. Familiarity with finance and accounting is essential. Computer skills- Microsoft Office Products, Adobe Creative Suite, QuickBooks, and a basic understanding of PC hardware. Proficient in the use of internet searches, file formats, document retrieval, and email. Familiarity with principles of adult education and informal education systems is helpful. Must be able to maintain confidential and/or sensitive information and materials. The successful candidate should embrace diversity, have strong human development skills in volunteer coordination, be highly motivated and a self-starter. This is a fixed-term appointment funded for one year from the date of hire with an excellent possibility of refunding. This is an 87.5% full-time equivalency (FTE) job. Will work 35 hours per week, Monday through Friday, 8:30 a.m. - 4:00 p.m. Full Penn State benefits included.
