Development and Alumni Relations in the Eberly College of Science is seeking an Administrative Support Assistant to serve as a vital part of a 13-person team. The position is highly collaborative and offers an opportunity to learn the inner workings of university fundraising and alumni engagement. The support assistant will aid gift officers by coordinating travel and reconciling reimbursements; composing, editing and proofreading correspondence, proposals and other documents; and managing calendars. Serve as front office staff: greet and provide information to alumni, donors, and college faculty and staff; handle mailings and office supplies, meeting agendas and minutes, stewardship gifts, website updates, and offer backup support to coworkers as needed. Assistance with college event logistics will include time-lines and planning, developing invitations, RSVP tracking, compiling bios and programs, vendor communication, and day-of preparation and there are frequent occasions that items need to be delivered and/or picked up for office events and meetings. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Working knowledge of Windows XP, Microsoft Word, Excel, PowerPoint, Lotus Notes, and experience with University electronic programs such as ERS, AWA, IBIS, iFiles, 25Live, Simba and Access are preferred. Excellent communication and writing skills, both verbal and written are essential, along with ability to maintain confidentiality and utilize discretion and judgment in dealing with external clients. This position requires that you operate a motor vehicle as a part of your job duties. A valid driver’s license and successful completion of a motor vehicle records check will be required in addition to standard background checks. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
