The Human Subjects Protection Office (HSPO) is seeking a proven self-starter to serve as an Administrative Support Coordinator (Office Manager) to oversee and manage office activities/operations that involves management of complex and confidential administrative duties and fiscal responsibility. The selected candidate will report to the Director of the Human Subjects Protection Office and will work closely with the Office Manager at the Office for Research Protections. This individual must have exceptional judgment, problem-solving, and organizational skills and will provide administrative and calendar support, as well as advice on best practices regarding University administrative operations, to the Director and staff. The selected candidate will prepare, manage, and control the office’s budget, maintain accountability for budget expenditures, forecast and project budgetary expenditures, resolve financial questions, and process financial forms; serve as the travel coordinator for the department and process expense reports in the Employee Reimbursement System (ERS). This position serves as the office’s human resources liaison and ensures compliance with HR policies and procedures, including departmental job searches and hiring process. The selected candidate will develop and maintain office management policies and procedures; serve as the facilities coordinator; manage assigned projects; respond to telephone, email, and written inquiries; and compose and edit correspondence, reports and presentations. Other duties include serving as front desk support; maintaining office inventory; serve as resource for office equipment; managing the schedule for the use of office conference room; serve as the technical contact for videoconferencing equipment and provide training on the use of equipment and conference room. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. The successful candidate must have a demonstrated commitment to diversity and sustainability. The ability to work independently, as well as in a team environment, in a fast-paced office, to maintain strict confidentiality, and to exercise independent judgment and discretion is a must. Strong knowledge of University policies and procedures related to financial matters, administration, and human resources, as well as experience with business or financial information databases, the employee reimbursement system, and financial information tools (IBIS, eBuy, ERS) is expected. Exceptional customer service skills, interpersonal skills, and written and oral communication skills are essential. To be successful, the selected candidate must be able to multitask, coordinate several projects simultaneously, prioritize appropriately, and monitor deadlines. Proficiency in MS Office (e.g., Word, Excel, and PowerPoint) is required. Experience with Zoom technology is preferred. The successful candidate must also have excellent management skills related to human resources activities, financial issues, and communication along with the ability to work with assigned staff to achieve excellence and maintain a positive work environment.
