Penn State Dickinson Law in Carlisle, PA, is seeking an experienced, self-motivated, and detail-oriented Executive Assistant to provide high-level administrative leadership to the Dean’s Office. Reporting directly to the Dickinson Law Dean and working closely with academic leadership, this individual will manage the daily operations, workflow, and priorities of the Dean’s Office; supervise Dean’s Office administrative staff; monitor and assist in operationalizing academic and administrative policies and deadlines; assist with faculty and senior staff recruitment; oversee the coordination of seminars, special projects, workshops, banquets, etc., including travel, lodging, meals, etc.; develop and maintain positive liaison relationships with various internal and external constituents, including senior administration, faculty, colleagues, executives, board and trusted-advisor group members, legislators, students, donors, alumni, and the general public; maintain a close relationship with units internal and external to Dickinson Law; research and compile information for the Dean’s talking points, speech scripts, and presentations; respond to a variety of inquiries on behalf of the Dean; compose independent correspondence; handle a wide range of confidential and sensitive correspondence and information; serve on Law School committees, including the Dean’s Executive Cabinet and Leadership Team, and engage in strategic planning, fiscal, and other law school administrative discussions; maintain the Dean’s schedule and calendar; screen phone calls and meeting requests; review, edit, and respond to correspondence; and produce reports and mailings as needed. Typically requires a Bachelor's degree or higher plus three years of related experience, or an equivalent combination of education and experience. The ideal candidate will have a business administrative background, demonstrated leadership skills, the ability to work with people of diverse cultural backgrounds, the ability to learn automated systems to increase productivity and optimize information dissemination within and outside of the law school, an appreciation for excellence, and refined and effective oral, written, and interpersonal communication skills. Other required qualities include an ability to prioritize projects and multi-task while maintaining the utmost attention to detail; strong office management and systems management skills; flexibility; resourcefulness in problem solving; an ability to work independently to organize, prioritize, and complete work in a timely manner; exceptional customer service; and a collaborative work ethic and willingness to work with others to accomplish shared goals. Although the position is in Carlisle, PA, responsibilities may involve infrequent travel to University Park, PA. Successful completion of a standard background check is also required.
