Description

The Office of the Senior Vice President for Finance and Business, in conjunction with the Office of the Corporate Controller, is seeking an experienced Administrative Support Assistant. This position will provide administrative support to the staff of the Office of Change Management and in support of the Resource Optimization Initiative as well as the central Finance and Business (F&B) Office. The position will also provide administrative financial support to the Office of the Corporate Controller. Typical duties will include providing reception for central F&B Office visitors and providing administrative support including scheduling and maintaining calendars, researching and compiling information, preparing agendas contributing to status reports and assisting with F&B events. Financial duties including those under the supervision of the Office of the Corporate Controller include tracking central F&B executive budgets, financial transactions and reporting; resolving charges on several budgets; creating purchase orders and standing orders using eBuy; managing all travel expenses in ERS; preparing purchasing card support forms; preparing quarterly and year end reports, assist with contract tracking as needed, and coordinating Service Awards. Excellent interpersonal and organizational skills and attention to detail are required. This person should understand and practice the value of equity and inclusion in all interactions with all constituents; and look for ways to foster this spirit in others. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. A proficient knowledge of financial systems, ERS, eBuy, and Microsoft Office is preferred. Other required qualities include accurate and professional communication and problem-solving skills; the ability to multitask and prioritize project deadlines; knowledge of University policies and procedures; exceptional interpersonal and organizational skills; superior written and oral communication skills, and knowledge of project management techniques. The successful candidate must be a Notary Public or have the ability to become a Notary Public and be committed to a high level of customer service.
