The department of Academic Advising, Career Services, and Student Disability Resources is seeking an experienced and enthusiastic individual to join our team. We are a busy office, serving students, alumni, faculty, staff and employers with needs relating to New Student Orientation, academic/educational planning, retention initiatives, and career decision-making, as well as internship and job postings. The Administrative Support Assistant will receive and provide information to students, families and visitors, answer telephones, schedule appointments, and support the work of academic advising, career, and disability services staff. This position also assists in the supervision and training of student assistants. The successful candidate will maintain calendars, coordinate travel arrangements, arrange meetings/events, maintain inventory of office equipment, order office supplies, track office expenditures, and reconcile departmental reimbursements. Ensuring compliance with FERPA and maintaining confidential student files, records, and databases is essential. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. The successful candidate will demonstrate a genuine appreciation for working in a collaborative, team-based, diverse environment and exhibit discretion and confidentiality when dealing with sensitive information. Skills critical to success include the following: excellent verbal and written communication skills, being customer/student focused, being proactive and accountable, being flexible and open to embracing change, having effective organizational, problem-solving skills, data-entry and mail merge skills, and conscientious attention to detail. Proficiency with Microsoft 365 as well as the ability to learn new technologies/adapt to existing PSU mainframe and web-based systems is a must. This is a fixed-term appointment funded for one year from the date of hire with excellent possibility of re-funding.
