Description

The Department of Entomology is seeking an Administrative Support Assistant 2 to provide administrative support to departmental personnel. The candidate will greet visitors, answer phone, provide information and refer. Process travel and group meal reimbursements in the Employee Reimbursement System (ERS); monitor report process through payment. Train faculty, staff and students on how to prepare travel documents and submit forms for processing. Review documents to assure completion in accordance with Federal, State and University guidelines. Record and process Insect Identification requests. Arrange meetings and schedule departmental conference rooms and resources using CollegeNet. Assist with departmental seminar; advertise weekly seminar, coordinate speaker travel and hotel accommodations, order lunch. Maintain inventory and order office supplies. Operate, troubleshoot and train users on copier and fax. Maintain mailroom; receive, distribute, sign for packages and notify recipients of deliveries. Process key and building access requests. Prepare and submit equipment disposition forms. Provide back-up support to department's administrative support positions. Assist with special projects or events. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Experience with the Penn State systems, eBuy, ERS, CollegeNet (25 live pro) and FileMaker Pro is preferred. The job requires the ability to collaborate and work in a team environment. Good verbal and written communication skills, sound judgment, problem solving skills, and solid organizational skills with attention to detail, is vital.
