A vital position in the Office of the Senior Vice President for Research (OSVPR), this position will provide administrative support to the Assistant Vice President for Research Operations, the Director of Data Analytics and other senior staff as needed, as well as general office and reception responsibilities. Greet visitors and direct effortlessly to their designated host, answer phone lines, receive, sort and distribute incoming/outgoing mail; inventory and stock all office supplies; reconcile purchasing cards; obtain beverages and deliver to office, provide refreshments for various committee meetings. Maintain office beverage fund; make bank deposits as needed. Schedule Evan Pugh Luncheons, yearly budget meetings, and others as requested, assist with candidate searches. Summarize Hershey shuttle ridership; distribute printed materials throughout the year such as Research Penn State magazine and Annual Report Research Activity; process matching funds requests that includes e-mailing signed copy, log match request in database and maintain electronic file and hard copy. Process promotion and tenure paperwork for signature, contact references via email, follow up to ensure they respond. Assisting lead with the activities of the Commonwealth Campus Research Collaboration Development program. Maintain and distribute parking permit inventory for parking chair, purchase and distribute parking passes to guests of OSVPR, and support building safety coordinator and act as one of two, unit safety monitors. Assist others in office as needed for meeting/event preparation. The ability to work independently and as a member of a team is needed with this position. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
