The Department of Food Science is looking for a responsible Financial Assistant to provide budget support of department general funds, unrestricted funds and research grants. Will provide oversight in managing, monitoring, and processing daily, monthly, and yearly financial transactions for the department. Main responsibilities are to process, submit/approve financial documents in the Integrated Business Information System (IBIS), Employee Reimbursement System (ERS) and eBuy system. Reconcile purchasing card transactions to departmental budgets and reconcile all department budgets in the system. Serve as timekeeper in Workday for all part-time employees to include initiating new wage hires and terminations. Prepare and email invoices for the Sensory Evaluation Center and E. coli Reference Center to companies for payment. Process credit card payments for E. coli Reference Center. Process cash advances for the Sensory Evaluation Center to include safe handling of advances and distributing money to faculty and graduate students for testing panelist fees. Monitor all income and expenses for department grants and contracts to ensure sponsor and university guidelines are followed and provide guidance to faculty with interpreting the guidelines. Track expenses of department short courses and ensure transfer of funds from college to correct department budgets. Collaborate with College personnel and faculty in processing and managing College competitive funds, student awarded funds, Student Technology funds, and Seed funds assuring that these funds are spent by termination date. Process check deposits according to University procedures. Prepare, process, and obtain signatures on appropriate budget forms within College and University system. Create and distribute budget reports to faculty, department manager and unit leader. Work with college financial office to resolve budget issues. Interpret and advise faculty, students, and staff on department, college and University fiscal policies and procedures. Assist with other administrative duties and provide backup to other office staff positions (mail, phones, office supply orders, etc.). Individual will participate in personal and team process improvement of fiscal and administrative processes. Typically requires a High School diploma or higher plus five years of related experience, or an equivalent combination of education and experience. Experience with the Penn State financial systems, IBIS, eBuy, ERS, FileMaker Pro, FIT, iTwo and SIMS is strongly preferred. Excellent oral and written communication skills, sound judgement, problem-solving skills, and solid organization skills with attention to detail, are vital.
