Description

The Department of Food Science in the College of Agricultural Science is seeking an Administrative Support Assistant to the Department Head to perform confidential, complex and detailed tasks to support academic and administrative responsibilities. Duties of this position include: 1) Direct assistance to Department Head (Maintain calendar and all tasks lists; Coordinate schedule with internal and external contacts; Schedule and cancel appointments as needed; Compose and send a variety of correspondence and reports in a timely manner; Monitor donor stewardship, initiate recognition and acknowledgement processes; Open, review, screen, direct and process all mail and telephone communications pertaining to Departmental activities and act on routine requests; Coordinate travel, prepare itineraries, and submit travel expense document and; Manage administrative aspects of visa processing for international faculty); 2) Coordinate collection of faculty information for annual and extended performance reviews; Provide administrative support for faculty and staff searches; 3) Preparation of agendas, scheduling and recording (prepare minutes) for Department meetings; 4) Assist in planning and overseeing various Department events; 5) Assist the Department Manager with leading process improvement processes to increase customer service and office efficiency; 6) Administrative support for the Promotion and Tenure process for department faculty; 7) Collect peer reviews of teaching and collating SRTE results; 8) Preparation of charts, graphs, and complex PowerPoint presentations; 9) Gather and summarize information for the annual Department Report; 10) Administrative support for Department committees including managing the annual election process for committees in accordance with bylaws; 11) Work directly with faculty to initiate and coordinate Experiment Station Project establishment and reporting; 12) Oversee the Visiting Scholar process from initial contact until arrival, including uploading confidential information into I-Start and communicating with the international office. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Candidates with working knowledge of University policies and systems and the promotion and tenure process as well as experience in an academic department are preferred. Candidates must possess excellent time management, organizational, and interpersonal and communication (written and oral) skills as well as a customer service focused orientation. In addition, the successful individual will be self-directed and able to work with minimal supervision, multi-task, and be pro-active in preparing for deadlines. Attention to detail and good judgement are vital requirements as is the ability to work in a team environment. Proficiency in Microsoft Office required.
