Penn State Brandywine is seeking an Administrative Support Assistant for its busy Academic Affairs department. This position provides administrative support to the Director of Academic Affairs, Assistant Director of Academic Affairs and faculty located within the work area. Primary responsibilities include assisting in special academic programs which would entail the following: create and maintain databases and reports; generate complex spreadsheets; prepare, process and review forms for payroll/human resource input; compile and organize information to prepare agendas, meeting materials, and reports; assist with planning and coordination of complex projects; arrange and coordinate meetings, special events, conferences and campus functions; and develop, design, and produce publications. Daily administrative tasks include answering phones, maintaining office supply inventories and filing; scheduling interviews and meetings; preparing documents such as itineraries; managing list-serves and related databases; and perform other duties as assigned by Academic Affairs Department. This position handles confidential information and correspondence such as student evaluations, and the successful candidate must be able to use discretion in carrying out assigned duties. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Candidates must possess a wide variety of skills including excellent attention to detail and keen time management skills, have a customer service background, be a team player and be able to effectively communicate both orally and in writing. Working knowledge of Microsoft Word and Excel required. Knowledge of SAP systems is an advantage. Database experience preferred. The successful candidate will have demonstrated relevant ability working with underrepresented populations, and commitment for advocating for diversity and values of inclusion.
