The Pennsylvania State University’s World Campus is seeking professionals who thrive in organizations going through significant growth and change. Successful candidates will work closely with students, support a large team of academic advisers and model a committed work ethic. As an Office Assistant/Records Specialist, you will be helping new students begin classes at World Campus, work with Excel spreadsheets to update student information, and serve as the point person for new and returning students starting their educational journey at World Campus. You will also provide administrative backup support to Administrative Assistants and Assistant Directors. Other duties and responsibilities required in the position are to prepare, process, update, and compile routine documents, records, and reports that can include updating degree check-sheets, Student Faculty Senate Petitions, and CANVAS Early Warning spreadsheet tracking. Routine data entry, updating and maintaining files, and scheduling change reports will also be required. The Office Assistant/Record Specialist will receive, deliver, process, and ensure confidentiality of sensitive records, information and materials, which may include Student Early Progress Reports, Faculty Senate Petitions and Academic information. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Competencies critical to the success of this position include proficiency and comprehensive knowledge of customer service, a commitment to the team, follow-through, personal and team accountability, data-driven decision-making, and attention to detail. Excellent verbal and written communication skills as well as comprehensive knowledge of technology including MS Word, Excel, PowerPoint, chat, database software, student records systems, and email are also essential to success in the position. This is a non-exempt 40-hour workweek, a basic Monday through Friday 8: 00 a.m.-5:00 p.m. schedule with a one-hour lunch break. This is a fixed-term position for one year from date of hire with excellent possibility of refunding. This position is located at University Park, PA.
