The Donald P. Bellisario College of Communications is seeking a self-motivated, detail-oriented, and dedicated individual to join the Finance and Administration Office team as an Assistant to the Director of Administration/Administrative Support Coordinator 5. The successful candidate will have an extensive business administration background and a willingness to lead and work in a team-based environment. The ability to foster a positive climate among a diverse group of staff, faculty, administrators and students is essential. This position will assist with complex and confidential administrative duties and responsibilities as authorized by the Director of Administration; resolve inquiries and ensure compliance with policies and procedures; recommend changes and/or develop and maintain internal processes and procedures. Review office operations and lead efforts to maintain productive teamwork and a positive culture. Work with Director of Administration to coordinate support staff development on topics including, but not limited to University systems, policy and procedures, risk management, professional communication, and customer service. As the University transitions to new systems, work closely with support staff to assess and implement levels of training required. Supervise, evaluate, and manage time and attendance records as assigned. Serve as liaison between department/unit leads and assigned support staff to manage assignments, projects; develop work plans; ensure effective and efficient workflow. Work closely with department heads and unit directors to review and manage budgets; approve budgetary transactions; may serve as proxy or delegate for department/unit leads on a variety of budgetary and other documents; oversee operational and administrative processes and monitor deadlines. Excellent interpersonal, organizational and communication (oral and written) skills are essential. Must be able to manage multiple priorities to meet deadlines, enjoy challenges and possess the ability to adapt and learn new systems. Must be able to handle sensitive Human Resources issues with absolute confidentiality. Due to the University extended holiday closure schedule, we will be reviewing all applicants during the first few weeks in January, 2020. Typically requires an Associate's degree or higher plus five years of related experience, or an equivalent combination of education and experience. Strongly prefer the successful candidate to have extensive experience in effective business and personnel management. Attention to detail and good judgment are vital requirements.
