The Engineering Services Division in the Applied Research Laboratory (ARL) at Penn State is seeking an Administrative Support Coordinator to provide administrative support to the ARL Director of Engineering Services and supervise and coordinate ARL Engineer Services administrative staff. Responsibilities include: Oversee the activities of the office, such as coordinating, planning, prioritizing activities, and tasking; coordinate business functions of the office that include human resources administration, travel, office coordination, communications management, and budget monitoring, lease tracking, time sheet process management; provide a high level of customer service to internal customers; plan and coordinate special events; oversee departmental hiring and training for staff; interview, hire, train, supervise, and evaluate assigned support staff setting the standard for professional behavior, effectively communicating roles and direction, and ensuring competency throughout the administrative ranks. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. Preferred experience includes: comfort with tracking and prioritization of multiple projects, coordination of critical communication with web site postings, Powerpoint presentation formatting, travel submission and coordination with Penn State system, and creating a welcoming and inclusive environment. Required experience includes: Microsoft Office programs, specifically Word, Excel, and Outlook; budget monitoring; event scheduling and coordination; organizing/providing oversight of office activities; leading teams on high-priority, high-volume projects; and coordination/handling of recurring programs. We are looking for someone with a supervisory background, who has the ability to effectively multi-task, prioritize, and work with minimal direction in a fast-paced environment, exhibits a high degree of professionalism, self-motivation, discretion, and independent judgement, holds excellent organizational skills and a strong attention-to-detail, and possesses excellent written and verbal communication skills. Employment with the Applied Research Laboratory will require successful completion of a pre-employment drug screen.
