Description

The Office of the Vice Provost for Online Education is seeking a versatile and dynamic administrative office professional to join our team! As a member of the Outreach and Online Education (OOE) staff, you will become part of a team that focuses on connecting Penn State's programs, research, and services to a vast and diverse global community. You will contribute to our goals by providing a wide variety of essential support to the Vice Provost and the Executive Assistant and managing front office operations and activities in the suite. Primary responsibilities will be arranging a high volume of meetings and appointments among University executive leadership and Outreach and Online Education senior leadership, and coordinating assigned staff searches and special projects. Additional responsibilities include compiling and organizing meeting materials and agendas; handling meeting logistics including the preparation of videoconferencing equipment; recording and distributing meeting minutes, arranging travel and processing reimbursements; drafting, proofreading and editing correspondence; preparing various financial documents; and serving as back-up to the Executive Assistant. Other front-office responsibilities include overseeing ordering and monitoring inventory of technology, equipment, and supplies; managing facility/work orders, serving as a resource and training contact for office technology and equipment, arranging building access and parking for staff and visitors, and distributing and processing all incoming and outgoing mail. This position also serves as the office unit safety monitor and coordinates emergency and business continuity plans and processes for the office. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. The ideal candidate will be highly motivated, exhibit a high level of professionalism and have strong interpersonal, organizational, time-management, and communication skills. Other skills key to success in the role include customer-service focus; discretion in maintaining confidentiality; comfort working both independently and collaboratively in a team environment, and a commitment to fostering diversity and inclusion. Working knowledge of University business systems is preferred. The position requires strong technology skills including demonstrated proficiency with the Microsoft Office suite (Outlook, Word Excel, PowerPoint) and an interest and ability to learn and utilize new software and cloud-based applications to enhance productivity, including making recommendations to streamline workflow for the office.
