The Department of Civil and Environmental Engineering (CEE) at The Pennsylvania State University is seeking a highly motivated, detail-oriented individual to join our team. Responsibilities of the position include but are not limited to providing administrative support to the undergraduate program office, undergraduate program chair, department head and current undergraduate students. Assist students with course scheduling. Update undergraduate program handbook, undergraduate program bulletin and various academic publications. Compile and gather data to conduct studies, create reports and presentations; collect information on accreditation; and assist in presenting reports for various surveys and for strategic planning purposes. Serve as the scheduling coordinator for the department. Assign classrooms to courses and events. Responsible for course, instructor and final exam entries. Submit forms to hire undergraduate students and ensure on-boarding has been completed. Manage and direct all activities related to planning and execution of the undergraduate student events such as orientation, Major Night, Spend a Summer Day, and the undergraduate reception. Maintain graduation lists, review academic requirement audits, and provide letters of certification to graduated students. Act as departmental coordinator for undergraduate and graduate scholarships. Administer the process for student rating of teaching effectiveness each semester. Provide backup support to the Graduate Coordinator and Graduate Staff Assistant as needed. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Experience with student records, LionPATH, WorkDay, iTwo and Microsoft Office preferred. Candidate must demonstrate professionalism with a high commitment to customer service; organizational skills with attention to detail and accuracy; ability to manage and prioritize tasks with minimal direction; and exercise discretion and judgment while managing confidential information.
