Description

Assist in a team-oriented operation of a fast-paced office environment. Responsible for processing various financial transactions, including Technical-Service payroll entry and review, accounts receivable and payable and travel reimbursement (ERS System). Manage the General Stores Gas Cylinder System and the system for tracking, ordering, returns and billing purposes. Receive and process requests for compressed gas cylinders and equipment. Place orders (i.e. purchase orders and standing orders) with vendors. Research cylinder gas special requests from staff, faculty, and students and exchange information. Act as system administrator regarding the tracking system and General Stores gas cylinder system. Verify vendor invoices for accuracy, calculate discounts and process for payment. Research and resolve invoice discrepancies with vendors. Process payroll and time-off requests for Technical-Service and part-time employees via electronic time and attendance system. Process a variety of University forms using in-house online system for both General Stores and Central Distribution Services. Process travel reimbursements, create and/or update spreadsheets and documents, process change order forms to increase/decrease standing order encumbrance amount or product adds, price changes or description changes. Prepare deposits for General Stores revenue. Manage and maintain budgets for compressed gas cylinder, General Stores and Central Distribution Services. Contact customers to resolve funding issues. Process customer requests for budget and fund changes. Ensure accuracy for invoice charges and credits. Process gas cylinder billing monthly and invoice vendor monthly. Answer questions and emails from customers; troubleshoot as needed between various databases to assist callers with problems and questions. Open and process mail, order supplies, maintain office equipment, maintain files, etc. Fill in as back-up to Customer Service area as needed. Typically requires a High School diploma or higher plus five years of related experience, or an equivalent combination of education and experience. Excellent customer service skills, SAP, Microsoft Word and Excel desirable. The successful candidate must be able to effectively interact with diverse audiences, understand the value of creating and sustaining an inclusive work environment, and engage with others in a professional and respectful manner.
