Description

The Smeal College of Business Professional Graduate Programs Office (PGP) is seeking a candidate for an Education Program Assistant. The position reports to the Online Programs Coordinator for PGP and to the Director for Excellence in Teaching and Learning. This position will be responsible for communicating with online graduate program prospects, managing and facilitating admissions, maintaining data and records, and tracking students’ program progression for over ten different graduate degree and certificate programs. The programs are complex in design and interconnectivity across the Smeal graduate portfolio. Responsibilities will include communicating via email and phone, receiving and evaluating applications and tracking the admissions process, updating systems, and solving admissions problems. This role will also include the maintenance of student records, assisting with overall program enrollment data, and communicating with various associated Penn State work units that collaborate to facilitate the online programs. This position will be assigned impromptu projects and will assist the Online Programs Coordinator with daily operations as needed. This position will be responsible for ongoing communication with Teaching Support Specialists (TSS), faculty and Learning Design groups. Support relates to recruitment/hiring/onboarding of TSSs and faculty and organizing communication throughout the PGP teaching community. Responsibilities will include coordinating meetings/events, coordinating the TSS application/interview/onboarding process, defining a cycle for regular communication for the teaching community, and facilitating questions/inquiries of faculty/TSS. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Associate’s or Bachelor’s degree preferred. Desired candidate skills include: concise, detailed, and prompt written communication, upbeat, positive, clear, and prompt verbal communication, ability to organize many details for a variety of different but related programs, capacity for logical thinking and driven to seek answers to questions, ability to complete assignments independently yet work collaboratively, capacity to manage multiple projects and meet deadlines, ability to change processes and plans with agility, ability to work with Penn State systems/platforms such as GRADS, LionPATH,O365, and Salesforce.com is beneficial. The anticipated start date for this position is immediate and will be scheduled upon hire. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of refunding.
