The Diversity Enhancement, Student Programs, and Outreach (DESPO) Office of The Applied Research Laboratory (ARL) at Penn State University is seeking a Student Advocacy Specialist to provide administrative and programming support of ARL Student Programs, including, but not limited to efforts towards student recruitment, student program development, student retention, and student data management for ARL. Responsibilities include: Development and administration of student new hires including: communication, onboarding, and security requirements; create and maintain student hire tracking spreadsheet and student personnel files; support and communicate guidance of student interview and selection process; coordinate with ARL Hiring Managers regarding all aspects of student hire, including posting, screening, and coordination of the new hire’s start date; collaboration with HR Shared Services regarding student hiring protocols; provide communication and dissemination of hiring information and protocols with relevant stakeholders, including applicants, new hires, and organization hiring managers; support reappointments or terminations; handle registration and logistics of student recruitment efforts at student career fairs and conferences; identify and evaluate recruitment opportunities; coordinate and maintain partnerships with academic, corporate, HR, and ARL lab partners regarding graduate students, and student recruitment efforts; support active recruitment for student programs (in particular, DOOR program); maintain candidate pool and resume bank; contribute to the DESPO’s goals of diversity enhancement and student development through efforts in training, workshops, programs; support management and administration of DOOR program; provide student budget and headcount documentation support; and interface and use various data management tools and software provided by Penn State HR and the DESPO office. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a Bachelor's degree or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. Experience with the following is preferred: EJMS, Big Picture, iTwo, Confluence, Workday, Starfish, PowerPoint and Canvas. To be successful, you must possess: Self-motivation; the ability to exercise discretion; excellent interpersonal and customer service skills; excellent communication skills both written and oral; exceptional and innovative problem solving skills; proficiency with Microsoft Excel and Word; and the ability to multitask in a fast-paced environment, while maintaining attention to quality, detail, and accuracy.
