The Department of Geography in the College of Earth and Mineral Sciences is seeking an Administrative Support Assistant. This position is responsible for: scheduling undergrad advising meetings; process undergraduate course adds, drops, substitutions, and audits (LionPath and CSRS); maintain course information; maintain student information; complete departmental, college, university, and outside surveys regarding enrollment; assist with processing curriculum updates (CRCS); submit textbook orders; request desk copies from publishers for instructors; assistant with alumni relations; process OPP work orders, such as HVAC issues; coordinate office moves and renovations; make purchases for the department (office supplies, faculty requested items, etc.); assign Secure IDs to new faculty and TAs; maintain department address/key/IDs as well as the database; schedule and collect SRTEs; gather faculty CVs; assist with awards; greet department visitors and students; answer/direct all phone calls; sort and distribute mail daily; prepare all UPS mailings; maintain Department Head's and Associate Heads' calendars and HUNT calendars for visiting guests; coordinate special department events and itineraries for special departmental guests; event planner for department; provide assistance with Miller Lecture (i.e., coordinating food for lunches/receptions and itineraries); point of contact for special event scheduling in classrooms (CollegeNet/25Live) and department calendars, including assistance with graduate student exams (comps/defense); order cap and gown for faculty attending commencements; point of contact for printer/copier/fax; call for maintenance, assist with requests (faculty, TAs); assist with setup/teardown of graduate orientation and grad interviewee meals; maintain department listservs; create/maintain department phone/office directories; maintain faculty/TA office hours; and backup support for Graduate Staff Assistant position. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs.
