Penn State’s Office of Conferences and Short Courses seeks a detail-oriented, self-motivated person with exceptional customer service skills to serve as a Conference Coordinator to plan programs supported by the Office of Conferences and Short Courses. Job responsibilities include: Coordinate the development, planning, and implementation of conferences, seminars, workshops, and other professional training or education programs. Manage multiple tasks and deadlines related to event planning and meeting management. Direct program planning meetings and timelines. Develop, manage, and reconcile program budgets. Coordinate marketing plan and create marketing pieces. Perform site reviews and negotiate contracts for meeting facilities, housing, food service, transportation and other conference services. Prepare registration material and coordinate production process with various clients, vendors and staff. Create and oversee management of website, online registration system, and email marketing process. Communicate with program chairs and major stakeholders. Develop and maintain relationships with appropriate professional associations, organizations, industry, youth, university and college administration, unit leaders, and faculty. Evaluate programs for improvements. Make recommendations regarding conference procedures and identify potential issues and solutions prior to program delivery. Coordinate program management with office staff and review office procedures as needed. Provide leadership in establishing office policies and initiating improvements through technology or more efficient processes. Make recommendations on conference methods and procedures. Typically requires a Bachelor's degree or higher plus two years of related experience, or an equivalent combination of education and experience. Experience with C-Vent (an online registration system) is preferred. Candidate must possess excellent written, organizational, and interpersonal skills and have the ability to manage multiple tasks and deadlines. Excellent customer service and communication skills are required. Extensive experience in event planning and meeting management is required. This position also requires excellent computer (PC) skills. Proficiency in Microsoft Office and Outlook is required.
