The Department of Materials Science and Engineering is seeking a self-motivated individual to serve as the first point of contact for the Department. Responsibilities as the receptionist and office support will include answering and directing phone calls, mailing and distributing mail, greeting and assisting students, faculty and visitors in the main office. Serve as administrative support to two full professors to assist them in completing the administrative tasks to run a research group. This includes coordinating travel reimbursements and preparing purchasing card documentation. Typing confidential reports, memos correspondence, and letters of recommendation. Maintaining calendars, scheduling meetings, and interviews and arranging itineraries for visitors. Attending meetings and taking minutes as needed. Maintain inventory and order/purchase office supplies for the department. Manage extensive departmental calendars for conference room scheduling including the management of keys associated with the rooms. Assign and maintain the database for keys and electronic card swipe access for Steidle Building. Monitor safety clearances for proper access to building and labs. Collaborate with the Information Technology Department to permit students access to computers in labs within Steidle. Coordinate poster printing and mounting for department faculty and students to present research projects. Process IDCC to charge appropriate budget when required. May act as a backup to the Financial Assistant to process group meal forms and travel reimbursements in the Employee Reimbursement System as well as the scanning of P-Card documentation in DocFinity. May act as a back up to the Development and Events Coordinator in assisting with preparing itineraries, flyers, and setting up seminars for the MatSE 590 series and other special events. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Excellent interpersonal, communications, and organizational skills, and a strong commitment to fostering diversity, inclusion, and teamwork are required. Strong computer skills and experience with Microsoft Office programs are required.
