Global Programs has an opening for an Administrative Support Assistant. This position provides direct support to the Director of Global Operations and Learning (GOL), and secondary support to the overall GOL office. This position interacts daily with any or all of Penn State students, staff, faculty and external partners. The primary duties of this position are meeting the scheduling, logistical and communication needs of the Director and processing financial transactions of the directorate. Duties include coordinating travel arrangements, making reservations and processing reimbursements for the Director. Financial activities include reconciling purchases, processing financial obligations with internal and external counterparts, preparing purchase orders, responding to invoices and conducting other actions. Other duties include scheduling unit-wide activities, coordinating internal logistics and handling mailings, answering the telephone and directing calls and responding to in-person visitors. The successful candidate will possess these characteristics: detail-oriented, customer-service focused and strong confidentiality. Similarly, the successful candidate must have excellent verbal and written communication skills as well as excellent accounting and mathematical skills. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Three years of related experience preferred. Experience with Penn State Financial Systems, Concur, eBuy, IBIS, Box and Qualtrics are preferred. Experience with audiovisual hardware is preferred. Prior experience with payments, purchasing, human resources or contracts is a plus. Prior experience in an institution of higher education is an advantage. Prior experience in an international environment is an advantage. Experience with Microsoft Word, Excel, Adobe Acrobat and Outlook are required.
