Description

Under the supervision and direction of the Administrative Support Coordinator, the Administrative Support Assistant will provide operational and administrative support to senior staff within the Department of Campus Recreation. Campus Recreation is a department within the division of Student Affairs that provides recreation and wellness programs to the campus community through the operation and administration of the following: IM Building, McCoy Natatorium, Stone Valley Outdoor Recreation Area, Tennis Center, White Building, Hepper Fitness Center, Outdoor Adventures, Aquatics, Club Sports, Fitness and Wellness Programs, and Intramural Sports. Campus Recreation is comprised of 53 full-time staff and more than 900 student staff members. Specific responsibilities include working with multiple work units within the Department to establish work processes and procedures consistent with University policies. Responsibilities include, but are not limited to, supporting the Senior Staff Team, office management and customer service. Support of Senior Staff Team includes: calendar management; coordinate travel arrangements; process employee reimbursements; reporting and proof reading documents, including those of a confidential nature; composing written communication; generate, prepare and maintain reports and spreadsheets. Complex assignments include scheduling, organizing and communicating meetings with multiple departments on and off campus. Office management includes: ordering supplies; assist with planning and implementation of events; maintain office equipment; assist with mail distribution; serve as resource to others on a variety of subjects including office equipment, software application usage, and information processing procedures. Customer service includes: back up to the student staff receptionist for the office by being the first point of contact for phone calls and visitors. In addition, the position is responsible for maintaining files, databases and may assist with proofreading documents, arranging meetings, and other office support functions. This position will be the department owner for travel identifying the most cost-effective method, communicating and enforcing Campus Recreation travel policy to our department, creating and implementing tracking systems for travel, communicating with Campus Recreation professional organizations regarding upcoming conferences. This position is the main back up to the Administrative Coordinator whose job responsibilities include administrative support to the Senior Director of Campus Recreation, supervision of student staff receptionist and creation of documents and reports. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Knowledge of IBIS, ERS and WorkDay is preferred. Must be proficient in Microsoft Office suite, including Word and Excel. Excellent written and oral communication skills are required. Outstanding interpersonal and organizational skills needed; Customer service and attention to detail is critical. This position requires independent work on assignments, while reviewing progress and updating the Assistant Director as appropriate. Must be able to manage multiple priorities to meet deadlines. Attention to detail and good judgment are vital requirements. The successful candidate will have the willingness to lead and work in a team-based environment as well as an eagerness to support and engage with all departmental and Student Affairs initiatives and efforts. Required to take initiative and have flexibility to adapt to shifting workload demands. The ability to foster a positive climate among a diverse group of staff, student employees and participants is essential. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
