This position will serve as the office coordinator for the Advising Center, facilitate the support activities of the office, provides administrative support to director and advising personnel, and coordinates with others to complete tasks. This person will provide office coverage and coordinate office coverage to ensure office is open, telephones answered, and appropriate answers and referrals are given during all hours of operation. This position serves as the administrator and contact for the new student orientation software and is responsible for data entry, student registration process, and serving as point of contact for students who need assistance to navigate the orientation registration process. This position monitors and maintains budgets, tracks expenditures, processes budget revisions, and assists with budget preparation and projections; generates, prepares, and maintains financial reports and spreadsheets, and authorizes processing of payments; creates and maintains files, databases, and reports; prepares, processes, and reviews forms for payroll/human resource system input and monitors time entry for work study and part-time personnel; assists in collection and organization of materials for new student orientation and advising related functions; develops, designs, and produces publications in accordance with established University policies/regulations; responds to routine and moderately complex questions/issues concerning advising/University policies, processes, and procedures from internal and external contacts; assists with the hiring of student workers, trains and supervises student employees; attends meetings and takes minutes; and arranges meetings and coordinates special events. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. A college-level degree and work experience in an educational setting is strongly preferred. The ideal candidate would be proficient in using Microsoft Office 365 and experience with Penn State systems, especially IBIS, ERS, 25Live, LionPATH, Visual Zen (VZO), and Starfish is desired. The position demands a high level of confidentiality; the ability to quickly learn new systems and functions as needed and to troubleshoot issues as they arise; a high-level of self-direction and accountability; possess excellent interpersonal, organizational, and time management skills; and the capacity for teamwork across the unit, including collaboration with faculty and staff on various projects.
