Description

The Office of Sponsored Programs (OSP) has an opening for an Administrative Support Assistant. This position will interact on a regular basis with faculty, university administrative offices, and external sponsors. This position will provide staff support to OSP negotiators and assist with the processing of various agreements. Log contractual documents and maintain information in Strategic Information Management System (SIMS) database. Scan, upload, label and distribute documents; process National Science Foundation (NSF) grants and non-financial requests; receive, open, sort, distribute, send and prepare correspondence; answer telephone and greet visitors. Serve as backup for co-workers during absences and heavy workload periods. May review, prepare and process financial forms. May coordinate travel arrangements, make reservations and process reimbursements. May serve as backup for logging and handling of contractual documents. The successful candidate will be detail-oriented and have an outstanding customer service orientation. Must possess strong critical thinking skills and an aptitude for utilizing technology for ongoing work processes. Must have the ability to work independently and collaboratively with various levels of administrators and staff, possess excellent judgment and organizational skills, and the ability to handle multiple tasks and projects with numerous interruptions. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. Experience with SIMS, Penn State Financial Systems, Concur, eBuy, Microsoft Word, Excel, Adobe Acrobat and Outlook are preferred. Prior experience with grants and contracts is a plus. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
