Description

The individual in this position will function as a member of the Administrative Support Assistant team providing primary administrative support to the Office of Science Engagement (OSE) by greeting visitors, managing calendars, scheduling meetings, assisting with programs and event logistics (i.e. Networking Reception; Fall Poster Exhibition; workshops and webinars; Education Abroad Fair; and industry driven events), data collection, monitoring office budget, preparing and submitting forms in IBIS and ERS, preparing and processing undergraduate research and travel reimbursement requests, and administering poster printing services. The individual in this position is also responsible for maintaining the website and adding new content as needed and will serve as the primary point of communication for the office – drafting promotional and informational materials in collaboration with OSE staff and other stakeholders. This position will also assist the Future Students Coordinator with planning and coordinating prospective student itineraries and data collection. The position will also serve as a backup to the staff in the Associate Dean’s Office. The successful candidate will have exceptional computer skills including data entry, mail merge, and proficiency with Microsoft Office Suite as well as the ability to maintain confidentiality, coordinate several projects simultaneously, and prioritize tasks. In addition, the individual will possess excellent verbal and written communication skills, be detail oriented, capable of self-management, and have excellent judgment and problem-solving skills. The ability to handle multiple tasks and a strong commitment to customer service, diversity, and teamwork are essential. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Proficiency with Microsoft office suite, LionPATH, Starfish, IBIS, ERS, website content management system(s), and FIT is preferred. The work schedule is Monday – Friday, 8:00 a.m. – 5:00 p.m. and may occasionally require night or weekend work for special events. This is a fixed-term appointment for one year from date of hire with excellent possibility of re-funding.
