The Undersea Systems Office within the Applied Research Laboratory (ARL) at Penn State is seeking a versatile administrative professional to provide high-level administrative organization and support to assigned Division/Area. Responsible for the coordination of administrative activities for Division Leadership, program managers, engineers, and other unit staff. Duties include, but are not limited to: Preparation of classified and unclassified material including presentations, engineering documents, reports, and mailings; proofreading of documents for appropriate security markings, grammar, spelling, punctuation and basic formatting; data and file management; reporting; calendar management; coordination of a large volume of travel (booking reservations, arranging schedules, and reconciling travel expenses) and providing support for a wide variety of meetings (scheduling rooms, preparing agendas and meeting materials, overseeing meeting logistics including audio-visual setups, security, refreshments, and meals). This position will facilitate internal/external communications, provide exceptional customer service to government visitors and internal customers and maintain office resources and supplies; provide reception for Division area and the handling of visitors, ensuring that security guidelines are followed; and coordinate interviews and new-hire onboarding needs, process all related forms and financial/travel reconciliations. This job will be filled as a level 3, or level 4, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience for a level 3. Additional experience and/or education and competencies are required for higher level jobs. Proficiency with Microsoft Office (Word, PowerPoint, Excel & Outlook) is required. The successful candidate will possess excellent communication, organizational and interpersonal skills. You must be able to multi-task, problem solve, prioritize and work both independently and as a team member in a fast-paced environment. A close attention to detail, above average accuracy, ability to exercise discretion and confidentiality as well as consistently high-quality work is critical.
