Description

This job will report to an Office Manager and assist with providing administrative support to one Assistant Director, two Area Coordinators, and nine Coordinators. Serve as primary receptionist; answer telephones; greet visitors; take messages; schedule appointments; make appropriate referrals to other offices; open, sort, and distribute mail; post notices. Create area duty schedule for professional and paraprofessional staff; distribute on a routine basis to various University offices. Assist in maintaining staff calendars. Assist in processing IBIS forms and payroll information. Post confidential information to student conduct database and refer to Office of Student Conduct as appropriate; maintain Incident Report log; assist in maintaining student files and records; type related documents. Process room reservation requests and forward for signatures. Inventory and order office supplies; prepare paperwork for special purchases; assist staff with budgetary needs. Assist in special project work; run office errands. Demonstrate a commitment to the development of a community where diversity and sustainability are valued. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Experience with IBIS, ISIS, eLiving, and Microsoft Office is preferred. This is a fixed-term position with excellent possibility of refunding. This is an 83.3% full-time equivalency (FTE) job. Months off are mid to late May through mid to late July. Full Penn State benefits included.
