Description

Outreach and Online Education Marketing is looking for two experienced Administrative Support Assistants. These positions will report directly to the senior directors of the Marketing unit and provide support for a large team. Responsibilities include: calendar management and scheduling meetings for the team; assisting senior director in monitoring and maintaining budgets, expenses, and contracts; processing financial forms using university financial tools; managing and monitoring computer purchases for the unit; creating, maintaining, and distributing needed reports, marketing plans, reference materials, and other documents; coordinating travel/event plans for team staff; planning and supporting activities of the team; assisting search committees with candidate application materials and visit arrangements, providing/coordinating back-up support to the other administrative staff as needed. This is a full-time (8 hours/day Monday through Friday position. We seek candidates who are able to demonstrate experience and ability to advance Outreach's diversity initiative. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Familiarity with University systems such as IBIS (financial information system), Office 365 (especially Outlook), eBuy (requisition and PO system) and ERS (employee reimbursement system) is a plus Competencies critical for this position include: meeting scheduling wizardry; ability to manage multiple tasks and priorities; professionalism, accountability and judgment; proactivity; flexibility and willingness to embrace change; high level of comfort with technology and willingness to learn new processes and technologies; strong written and oral communication skills; exceptional organizational skills and attention to detail. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
