Description

Penn State’s Office of the Physical Plant is seeking a professional to join the administrative staff team and serve as Administrative Support Coordinator providing primary support to the Assistant Vice President (AVP) for Physical Plant and serve as back up for the Executive Assistant for the Associate Vice President for Physical Plant. This position will report directly to the Executive Assistant and responsibilities will include performing complex and confidential tasks as directed; such as, serving as primary contact for the AVP office; answering AVP office main phone line, resolving inquires and directing calls as appropriate; ensuring compliance with University/office policies and procedures; coordinating and providing support for searches, events, committees, and councils; assisting in the day-to-day operations of the office which include coordinating and managing calendars, coordinating travel arrangements and reconciling expenses, scheduling meetings, and ensuring schedules are maintained and deadlines are met. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. The successful candidate must have an outstanding work ethic, excellent communication and customer service skills, be self-motivated and perform duties and manage multiple priorities with minimal oversight and direction. Proficiency with Office 365, including Word, Outlook, PowerPoint, Excel and OneNote, is required. Proficiency with WorkLion, Employee Reimbursement System (ERS), and eBuy as well as Office 365 apps is preferred.
