The Department of Industrial and Manufacturing Engineering in the College of Engineering is seeking a Financial Coordinator to be responsible for providing financial support for a high-volume and fast paced academic department. The successful candidate’s responsibilities will include, but not limited to, assist with monitoring and managing individual cost centers. Process all travel effort cost share. Manage charge out rates for unit, assist with preparation and maintenance/annual audit of charge out rate accounts. Manage reports and deposits of First Year Seminar, Senior Design, World Campus Revenue, Tuition Surcharge, RIF, MGR, Gift and other special income accounts like SEED Grants, Centers, etc. granted to the faculty and department. Assist manager with update and tracking start up accounts and category balances to ensure budget and expenditures are accurate. Prepare, process, monitor, and approve financial documents and transactions in Penn State financial and human resources systems (IBIS, Workday and SIMBA). Monitor budget and fund balances, compiling data for analysis and forecasting purposes as needed. Review and advise on ways to manage resources and maintain financial compliance with budget-related policies, requirements and restrictions. Assist with supplemental payments for instructors. Track changes to HR procedures and incorporate into department processes and guidelines. Responsible for requests to close EJMS wage job postings. Direct, mentor, train and support financial staff in the effective performance of their job requirements. Manage all incoming and departing visiting scholars. Initiate department check-in process for all incoming scholars and monitor process to completion to prevent having scholars (or their dependents) on site after the end date of their stay at Penn State. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. Experience with IBIS, ERS, FIT and Worklion/Workday is preferred. The successful candidate must have excellent communication (both written and verbal), organizational and problem-solving skills, and strong interpersonal skills. Candidate must be able to act independently and as a reliable member of the financial team and be able to handle sensitive human resource issues with absolute confidentiality.
