The Office of Physical Plant, Planning, Design and Properties (PDP) is seeking an energetic, flexible, customer-focused Administrative Support Assistant. This position provides administrative support to the Director of PDP, Assistant Director of PDP/Space Management, University Architect, University Planner and the Assistant Director of PDP/Real Estate. PDP is currently a staff of twenty-six people across three locations. The successful candidate will have a broad variety of responsibilities including management of day-to-day administrative activities in the office of PDP, serving as the first point of contact for customers and visitors, routinely handling high-level confidential and sensitive requests, scheduling and maintaining calendars, assisting with special projects, managing financial transactions for the office of PDP, ensuring the office of PDP is compliant with records management policies, directing, screening, reviewing, and processing mail and phone communications, and ordering office supplies. This person may also assist with data input in support of specialized databases, electronic filing, and software systems to include LionSpace FIS, 25Live and AMT Direct. This position will also serve as back-up support for high-level administrative committees, make travel arrangements and build itineraries including complex arrangements and preparing reimbursement requests; and reconcile expenses. This position will also provide back-up support and assist the facilities representative with assignments and events, as needed. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Requires ability to communicate effectively with staff, administrators, and faculty in person, by telephone, and in writing. The candidate must demonstrate sensitivity to diverse populations and a willingness to learn complex information. Confidentiality and multi-tasking skills are a necessity. Attention to detail, good judgment, and the ability to work within a team environment are essential. Strong familiarity with word processing, spreadsheets, and data management (Microsoft Office 365) software highly desirable.
