Administrative Support Assistant serves as the primary point of contact for the office of Recreation and Aquatics. Answers telephones, schedules appointments, sorts and distributes mail. Assists in the hiring, training, supervision and evaluation of front desk staff. Creates, coordinates and publishes the weekly staff schedule and work assignments of department wage employees. Serves as the primary contact for staffing issues and is the backup monitor in the absence of wage employees. Maintains all staff-required training certification records. Manages the wage payroll budget for intramural officials and front desk fitness attendants. Processes, maintains and reconciles financial records using IBIS (including purchase orders, Workday, SRFC, IDCC, petty cash, ROCR). Submits expenses through ERS. Utilizes LionPATH for class registration verification and schedules and CSI verification. Building Access Coordinator for the Capital Union Building using CCURE to assign clearances and setting building time specifications. Manages, troubleshoots and updates software programs including the front desk management software (CSI) and the When to Work staff scheduling software. Creates/maintains department files, databases and reports. Assist in the resolution of issues and conflicts in relation to AD-73 to ensure compliance with university policy. Uses a variety of communication methods (email, text, Remind, verbal, written) to disseminate information. Recognizes emergency situations and notifies/requests assistance from 911 or Police Services. Coordinates and acts as a liaison with campus-wide departments, external clients, and events and programs held in the Capital Union Building. Troubleshoots facility issues, addresses student and customer inquiries. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Excellent communication and organizational skills required.
