Penn State’s College of Arts and Architecture, Office of the Dean, seeks an Administrative Support Assistant. Reporting to the Associate Dean for Research and Graduate Studies, this position serves as an administrative liaison with units and offices across the College and the University. Duties will include maintaining calendar, files, and records; coordinating meetings, workshops, receptions, and other events; arranging travel and filing expenses reports; organizing new faculty orientation, mentoring program, and monthly workshops; coordinating application and submission process for Arts and Architecture student travel funds, and University faculty awards. The position requires maintaining current knowledge regarding Graduate School policies, procedures, and guidelines; acting as liaison with the College Graduate Officers and the Graduate School, attending relevant meetings and circulating information; maintaining files and records, and compiling information for College reports to the Graduate School; coordinating submission of proposals for new courses and programs; assisting with initiatives for recruiting outstanding students; coordinating nomination process for College and University graduate student fellowships and awards; providing assistance to graduate faculty and graduate staff assistants in matters concerning graduate education; working with College planning analyst to compile and analyze data related to graduate education. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Preference will be given to candidates with substantial experience with graduate education. Knowledge of PSU systems, policies and procedures is preferred. Experience with eSteward, LionPath, EIS, ERS, Excel and ITwo, is desired. Candidates must have excellent communication and organizational skills and the ability to work independently as well as in a team environment. An ability to engage professionally with a diverse population of faculty, staff, and students across the University is required.
