The Department of Engineering Science and Mechanics (ESM) in the College of Engineering is seeking a professional to join the administrative staff and serve as the first point of contact for the Department. As the Engineering Science major is the Honors program for the College of Engineering, this position has significant interaction with ESM undergraduates, most of whom individually customize their major requirements. Responsibilities included the following receptionist and office support duties: greet customers/visitors; answer and direct telephone calls; provide information and refer, as appropriate; send broadcast email messages to faculty and students; distribute keys and parking permits; assist with department events (graduation ceremony, retreats, award celebrations, ice cream social); student recruitment letters and events (graduate picnic, major night, undergraduate Spring mixer, Career Fair, spend a summer day); and alumni meetings (Penn State Engineering Science and Mechanics Alumni Society, Industrial and Professional Advisory Council, Golden Decade Reunion); provide staff support to the department’s student clubs and faculty advisors; and provide staff support and data base management to faculty, who organize seminars and workshops. This position assists faculty with class preparation, copying course notes, syllabi, quizzes, and examinations. Manage departmental incoming/outgoing mail and express packages. Maintain office equipment and schedule the Department’s conference rooms in CollegeNet. Oversee inventory and provide orders for office supplies and equipment to the ESM budget office. Maintain and update email list serves, mailing lists, directories, and bulletin boards. Provide administrative backup support to the undergraduate and graduate assistants, program officers, and the Department Head Assistant; run monthly reports for the current student list, update the department’s files as needed and create new mailboxes for incoming students. Assists with the Accreditation Board for Engineering and Technology (ABET) accreditation process and preparation of annual and final reports; organizes ABET data collection, files, portfolio and thesis review meetings. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Experience with Filemaker Pro are preferred. Excellent interpersonal, communications, and organizational skills, and a strong commitment to fostering diversity, inclusion, and teamwork are required. Strong computer and database skills and experience with Microsoft Office programs are required.
