The Department of Architectural Engineering at The Pennsylvania State University is soliciting applications for an Administrative Support Assistant and Event Coordinator. The responsibilities of the position include administrative staff support for the Architectural Engineering Department, serving as the first point of contact for the administrative office, collecting and processing invoices from the Engineering Copy Center, and Event Coordinator for various departmental events including student welcome picnics, recruiting picnics, awards/scholarship banquets, seminars and graduation receptions, etc. Candidate will provide office coverage and back up to the department head, administrative coordinator, other administrative staff, and alumni relations & stewardship coordinator. Other responsibilities include: answering telephone and transferring calls; distributing mail; scheduling rooms for various meetings and events; manage equipment check-out log; scan and archive student records and other administrative records as directed; update department files such as directory listings, academic deadlines, etc.; and order supplies for department and Engineering Copy Center. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Prior office management experience preferred. The ideal candidate would be proficient in Microsoft Office and possess excellent skills in verbal and written communication; organization and time management; and accurate data entry. The candidate should have the ability to work well under pressure and to prioritize effectively.
