Description

Penn State Law and the School of International Affairs Finance Office in University Park is seeking an experienced Financial Coordinator to assist in maintaining the financial operations for both schools. This position reports directly to the Financial Officer and assists faculty and staff with day to day processes. The successful candidate will also serve as the back-up to the Financial Officer. Financial management responsibilities: initiation and/or approval of payments and transfers in IBIS; approve in Concur for employee reimbursement requests, answer questions regarding processing of reimbursements, and train new staff in Concur; reconciliation of purchasing card transactions; initiate purchase orders, confirm invoices and approve in eBuy; manage the Labor Distribution process including maintenance of clearing accounts for both schools; manage receivables for both students and other functions such as third-party travel reimbursements and building rentals and liaise with the Office of Risk Management for contracts and agreements. In addition, this position will be required to regularly perform analysis of financial data and provide reports to assist in resolving issues. Cash Management responsibilities: depositing cash, credit card receipts and wire transfers; manage credit card payments for various events and organizations; manage LionPATH student account to ensure correct billing and payment application (Penn State Law acts as its own bursar); maintain familiarity with third-party contracts for sponsored students; coordinate with other University departments and external organizations as required to resolve issues. WorkDay responsibilities: initiate Workday transactions including supplemental payments and hires and may serve as WorkDay timekeeper. Other responsibilities: assist in the management of Grants and Contracts including pre-award, post-award and cost-share tracking; manage financial aspects of Student Publications such as Law Review including author agreements and billing for subscriptions, and work with Student Organizations for budget management and payments/reimbursements. Typically requires an Associate's degree or higher plus eight years of related experience, or an equivalent combination of education and experience. The candidate must be able to work both independently and as a member of a team. Strong interpersonal, organizational and customer service skills and the ability to multi-task required. Experience and knowledge of all PSU financial and other related policies and procedures as well as financial systems (IBIS, iTwo, FIT, SIMS, ERS, eBuy, LionPATH, WorkDay, Pay and Effort, Data Warehouse, and Research Administration) is preferred. Effective oral and written communication skills and attention to detail is highly desired. Knowledge of University-specific financial and human resource systems is not required; however, general and transferable knowledge relative to other financial mainframe and human capital management systems is expected. Proficiency in the use of database applications for analysis and reporting is preferred. This individual must be proactive in identifying problems and solutions and possess a strong work ethic and initiative.
