Description

This position will provide administrative leadership and support to the Director of Alumni Relations to ensure the efficient operation of the Alumni Relations Office by: maintaining calendars, setting up meetings and conference calls with multiple audiences (University/College staff, alumni volunteers and general alumni population), coordinating travel arrangements (airfare, lodging, itinerary) and processing reports to related expenses. Assistance in managing all programs, awards, special events and meetings by organizing timelines, due dates, checklists and archiving details of past events. In addition, the position serves as the primary support staff for the Alumni and College Relations offices by answering telephones, processing and distributing incoming mail, preparing outgoing mail, greeting visitors and assisting other staff assistants with overflow work. The position will also act as the principal contact person for the Director of Alumni Relations and the College Relations office, provide timely responses to inquiries and requests related to the College Relations Office and other requests conveyed through the Dean’s Office. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. Experience with Penn State financial systems, including IBIS and iTwo, preferred but not required. This position requires excellent communication, organization, planning, and timeline management skills, as well as a thorough attention to detail. Position must demonstrate a thorough proficiency with computers, including applications such as Microsoft Office Suite and the ability to learn new software applications. Proven strong administrative, organizational, prioritization and time management skills. Position should demonstrate strong writing skills to support various types of internal and external communication needs.
