The Undergraduate Office in the Department of Chemistry seeks to hire an Administrative Support Assistant. The qualified candidate will assist with the administration of undergraduate programs, provide essential office support to the office manager, and work with the department’s faculty and teaching assistants on academic issues and concerns. Interact with prospective and current students regarding laboratory course registrations, research course registrations, and scheduling exam conflicts. Serve as the principal resource person for faculty, students, and office staff on matters related to lab courses. Format, edit, and proof-read instructional materials such as course syllabi and lab manuals. Schedule classrooms for lab lectures, review sessions, and Teaching Assistant (TA) meetings. Download class lists and room assignments. Update TA information database and contact sheet. Copy exams and quizzes and process student conflict/makeup exams. Process grade change reports, course evaluations, and student surveys and calculate TA rating averages. Coordinate prospective student visits. Maintain research class registrations and add/drop registrations (LionPATH). Coordinate lab faculty travel arrangements, process groups meals and travel support forms (ERS), and complete Special Request for Checks (SRFC). Prepare and set up for poster session and graduation commencement events. Reconcile P-Card transactions. Assist with building courses and TA assignments. Assist Undergraduate Program Manager with oversight of undergrad wage payroll program. Assign faculty and TA Student Rating of Teaching Effectiveness (SRTE)’s. Prepare reports and memos. The work hours for this position will be Monday through Friday 8:00 a.m. to 5:00 p.m. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Proficiency with Microsoft Office is recommended. This position requires excellent interpersonal and organizational skills and the ability to use judgement in problem solving. The ability to multi-task with interruptions and work both independently and with a team are essential.
