Description

The Office of the Vice Provost for Graduate Education and Dean of the Graduate School (OVPD) seeks an experienced administrative professional to provide a high level of administrative support and customer service to internal and external constituents of the Graduate School. Reporting to the Senior Administrative Coordinator, primary responsibilities of the position include direct administrative support to the OVPD and its senior administrators. A major focal area of responsibility is assisting with coordination of all logistics associated with Graduate Council, the faculty body for academic governance of graduate education at Penn State, along with its committees and related initiatives. This includes, but is not limited to coordination of related meetings, meeting minutes, correspondence with and distribution of minutes, memos and related materials to members and associated entities, polling of Council members, and other support as needed. Additional duties include but are not limited to: reception for the OVPD; managing requests for meetings; assisting with the Graduate Faculty nomination and review process and records maintenance; and generating correspondence to a variety of external and internal constituents including University administrators at the department, college and central level. Other administrative duties involve backup administrative support for the Graduate School’s Senior Associate Dean and the Associate Dean for Graduate Student Affairs, as needed, including preparation and review of correspondence; calendar management; detailed document processing; data entry, summarization and tracking; preparation and review of presentations and scripts; records retention; updating web pages as needed in coordination with Graduate School unit Directors and Network Operations personnel; and other duties as assigned. The position will provide administrative supervision of Graduate Writing Center consultants, including tracking, verification and approval of appointments/hours in WorkDay, in coordination with the Associate Dean for Graduate Student Affairs. Candidates for consideration must be highly self-motivated and self-directed, exhibit excellent interpersonal, verbal, written communication and organizational skills, meticulous attention to detail, and a strong commitment to customer service. The successful candidate will work as a team member for the planning and execution of Graduate School events; which may involve periodic commitments during evenings and weekends. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. Demonstrated high quality and thoroughness of work is critical. Excellent computer skills required, including proficiency in Microsoft Office 365 applications essential. WorkDay, IBIS, Employee Reimbursement System (ERS), and MURA experience preferred. Evidence of ability and commitment to working as an effective member of a team required.
