Description

The combined staff support unit for the Departments of Applied Linguistics (APLNG), Communication Arts and Sciences (CAS), and Philosophy(PHIL) in the College of the Liberal Arts is seeking a detail oriented and experienced Administrative Support Assistant to provide direct support to APLNG and PHIL department heads; process promotion and tenure dossier and all other aspects of promotion and tenure for APLNG and PHIL, and teaching faculty dossiers for CAS. Provide support for faculty searches and appointments - prepare and process the offer letters and appointments for APLNG and PHIL for tenure track and fixed term positions. Prepare, process, and then create and maintain spreadsheet data for all supplemental payments for APLNG and PHIL faculty. Process visiting scholar applications for APLNG and PHIL. Prepare and process year-round wage hires for all three departments. Additional work involved includes: scheduling meetings, preparing agendas and taking notes at meetings, compiling background material for meetings as requested, composing letters, memos, and reports, and resolving complex inquiries and ensure compliance with work unit and/or University policies and procedures. Provide back-up support to the other Administrative Support Assistant who supports CAS in similar tasks. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Experience with WorkDay, Box, Excel and other Penn State systems is desired. Applicants should possess integrity and discretion required in safeguarding confidential data; exceptional communication skills, including effective personal and interpersonal skills; excellent organizational and prioritization skills; and proven strong administrative, organizational, prioritization and time management skills. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
