The College of the Liberal Arts, Office of the Dean is seeking an energetic, flexible, customer-focused Administrative Support Assistant. This position provides administrative support to the Dean, the Dean’s staff, and the HR Strategic Partner. The successful candidate will have a broad variety of responsibilities including management of day to day administrative activities in the office, serving as the first point of contact for customers and visitors, routinely handling high-level confidential and sensitive requests, scheduling and maintaining the Dean’s calendar, assisting with College events, managing financial transactions for the office, ensuring the office is compliant with records management policies, directing, screening, reviewing, and processing mail and phone communications, and ordering office supplies. This position will provide academic recruitment support for department head searches to include assisting with creating itineraries; making travel arrangements and building itineraries including complex cross-college arrangements; booking venues; scheduling job talks; producing and distributing publicity materials; developing and distributing follow-up surveys; preparing reimbursement requests; and reconciling expenses. This position will also support the College Facilities Manager in areas such as key and parking assignment, distribution, and management as well as provide back-up support to the College’s Events Manager including preparing related materials and assisting with events, as needed. Additionally, this position will coordinate and schedule yearly budget meetings, and will assemble and review related materials for accuracy. The successful candidate will serve as a subject matter expert for Docfinity and support staff in the use of various technologies. This person will also maintain College databases, electronic filing, and software systems. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Requires ability to communicate effectively with staff, administrators, and faculty in person, by telephone, and in writing. The candidate must demonstrate sensitivity to diverse populations and a willingness to learn complex information. Confidentiality and multi-tasking skills are a necessity. Attention to detail, good judgment, and the ability to work within a team environment are essential. Familiarity with word processing and data management (Microsoft Office) software highly desirable. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
