The Security Services Division in the Applied Research Laboratory (ARL) at Penn State University is seeking a proactive, team-oriented individual to assist with a variety of administrative tasks in our Security Services Division. Responsibilities include: act as initial contact to the Division, responding to routine and complex inquiries on ARL or Penn State policy or procedures from internal and external customers, to include briefings and de-briefings on security procedures and regulations; plan, organize, coordinate, and direct daily office activities; assist with or coordinate the management of the employee parking permit registration system; prepare, review, organize, and maintain a variety of security forms, databases, reports, and correspondence; assist with or manage, maintain, and update various security manuals, visitor clearances, and process classified visit requests; arrange meetings, develop agendas, and oversee the coordination of meetings, programs, etc.; provide assistance with preparations for security inspections by United States government agencies; interview, train, and assist with or direct work assignments of student employees; and analyze/identify processes for streamlining, and develop new processes to support the needs of the Division and Lab. This job will be filled as a level 3, or level 4, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience for a level 3. Additional experience and/or education and competencies are required for higher level jobs. Prior military or industrial security background; experience organizing and providing oversight of office activities; exposure to working on high-priority, high-volume projects; and prior coordination/handling of major programs. Experience in a security-related or other professional environment; proficiency with Microsoft Office (Outlook, Word, Excel); and the ability to effectively multi-task, prioritize, and work with minimal direction in a fast-paced environment while providing a high level of customer service. The successful candidate will possess: a high degree of professionalism, self-motivation, and discretion; hold excellent organizational skills; a strong attention-to-detail; and possess excellent written and verbal communication skills.
